Review request email generator
Write a review request email and text with your link already inside.
Get a calm public reply to a difficult review, built from what really happened and ready to post.
Your reply is written for two readers: the customer who complained and everyone who reads the review later. A short, steady answer shows both of them how you handle a problem.
Take this review as an example. The right reply depends on what you find when you check the visit.
Daniel's review
I booked for Saturday morning and still waited 40 minutes.
Google's policy doesn't allow offering payment, discounts, or free services in exchange for changing or removing a negative review. You can still fix the problem for the customer. Keep that separate from what they choose to do with their review.
If a review breaks Google's policy, for example it comes from someone who was never your customer, you can report it through your Business Profile and reply with a short, neutral note in the meantime.
One difficult review weighs less among many recent ones. The Google review link generator and the review request email generator make it easy to ask every customer.
Thank the customer, name the issue in their words, share only facts you can stand behind, and offer one direct way to follow up. Keep it short and sign it with your name.
Apologize when you got something wrong. If the facts aren't clear yet, you can thank the customer and say you want to look into it. Choose the tone in the generator to match the situation.
Three or four sentences usually cover it: thanks, the issue, one line of context, and a next step. The generator gives you a full and a short version.
Reply briefly and neutrally, say you can't find a matching record, and invite the person to contact you. Then report the review through your Google Business Profile if it breaks Google's policy.
You can talk to the customer and fix the problem. Offering payment, discounts, or free services in exchange for changing or removing the review isn't allowed under Google's policy.
